Course overview

When a crisis arrives, HR discovers within about two hours whether its records are accurate. Who is on site. Who is travelling. Who has a medical condition the response needs to account for. Which functions cannot operate if four named people are unavailable. Most organizations cannot answer those questions quickly, because the data exists in three systems that do not reconcile and nobody has ever been asked to produce it under time pressure.

This course covers HR's specific role in a crisis: workforce safety and accountability, continuity of critical roles, the employment law questions that arrive fast in an emergency, communication to a frightened workforce, and the support that people need afterwards, when the incident is over and the organization would prefer to move on.

Why HR's part of the plan is usually the thinnest

Business continuity planning tends to be led by operations and IT, and it is thorough about systems, sites and suppliers. The workforce section is frequently a paragraph. It assumes people will be available, that managers will know what to do, and that someone will handle communication. None of those assumptions survives an actual event.

The gaps are consistent: no accurate roll call capability, no cover arrangement for a critical role whose holder is unreachable, no clarity on what managers may decide about pay and attendance during a disruption, and no agreed message, which means the vacuum is filled by rumor within an hour.

Course objectives

By the end of the course, participants will be able to:

  • Build HR's continuity section so it can be executed under pressure.
  • Establish what HR must be ready to decide in the first hours.
  • Account for the whole workforce quickly enough to matter.
  • Staff essential functions when the usual person is unavailable.
  • Anticipate the employment decisions a closure forces within a day.
  • Communicate to a workforce under stress with facts that hold up.
  • Coordinate HR's contribution while the incident is still live.
  • Route affected people to qualified professional support.
  • Restore staffing levels once the immediate response is over.
  • Cover the gaps in workforce records before the next incident.

Course outline

Unit 1: Introduction to HR crisis management

  • What HR owns in safety, accountability and communication.
  • HR's seat in the crisis structure and its escalation route.
  • A record that cannot answer the first hour's questions.
  • Incidents where the people records were the weak point.

Unit 2: Business continuity planning for the workforce

  • Mapping the four people a function cannot operate without.
  • Deputies, cross-training and cover arranged in advance.
  • Workforce data held in three systems that do not reconcile.
  • Emergency contacts last updated four employers ago.

Unit 3: Workforce safety and compliance

  • The employer's safety obligations when an emergency starts.
  • Roll call for staff on site, traveling or unreachable.
  • The fast questions on pay, attendance and safety refusal.
  • Temporary redeployment and the contractual limit on it.

Unit 4: Crisis communication to the workforce

  • The first internal message with facts, unknowns and actions.
  • Honesty under uncertainty, and reassurance later withdrawn.
  • Cascade through managers, the channel people believe.
  • The hour before the first message, and what fills it.

Unit 5: HR in the emergency response

  • Sitting in the response structure, and what HR decides.
  • Supporting affected employees and families within limits.
  • Calling on occupational health, counsel and insurers.
  • Managing an HR team that is absorbing the crisis too.

Unit 6: Wellbeing and recovery

  • Spotting strain months later in people performing well.
  • Referral to qualified help, beyond a manager's remit.
  • Recovery, and the cost a crisis collects afterwards.
  • Retention risk in the months after an incident.

Unit 7: Sustaining HR crisis readiness

  • Correction of the data errors an incident exposes.
  • Contact data and cover lists undone by a reorganization.
  • Checking the workforce record against reality each quarter.
  • The workforce fact nobody can produce today, and its owner.

How the course is delivered

Sessions combine structured explanation with documented case material: continuity plans, incident timelines, internal communications and post-incident reports that participants read, critique and rebuild in discussion. Tabletop discussion is used to walk a workforce plan through a scenario; there is no field deployment or technical exercise. Participants bring their own readiness gaps to the room, and time is set aside for them. The course is educational and does not certify participants or assess your organization's preparedness. It is not legal advice, and it is not clinical or medical training; individual mental health support belongs with qualified professionals. Those who own the wider preparedness agenda often continue with Corporate Leadership and Crisis Preparedness.

Who should attend

  • HR directors and managers with a role in the crisis or continuity plan.
  • Business continuity and resilience professionals who need the workforce section to work.
  • Health, safety and occupational health specialists.
  • Internal communications professionals who write to employees during an incident.

Frequently asked questions

We have a business continuity plan already. What does this add?

Most continuity plans are strong on systems and thin on people. The course concentrates on the workforce section: accountability, critical role cover, the employment questions that arrive fast, and the communication nobody drafted in advance.

Does the course include a live lab?

No. There is no live system, no field deployment and no technical environment. Plans are worked through in structured tabletop discussion using documented material.

Does it cover employee mental health after an incident?

It covers recognizing strain and routing people to qualified support, which is the organization's role. It is not clinical training and does not provide medical or psychological advice.
